Privacy Policy

1. What this policy covers

This policy explains what information Good Work Outreach collects when you use our website, register an account, or use our CRM dashboard, and how that information is used, stored, and shared. It applies to you as a Good Work Outreach client, and to information about the Instagram/Google My Business prospects you capture through our tools.

2. Information we collect about you

  • Account details — name, email address, and password (stored as a one-way hash, never in plain text).
  • Business/targeting information — the industry, target audience, location, and services you tell us about at signup, used to guide lead capture and outreach on your behalf.
  • Payment reference information — for trial and plan payments made by bank transfer, we store the reference/transaction ID you submit and the time you submitted it. We do not collect or store your card, bank login, or full account details — payment is made directly through your own bank, outside our systems.
  • Usage data — pages visited within the dashboard, actions taken (e.g. leads captured, messages marked as sent), and basic technical data (IP address, browser type) for security and troubleshooting.
  • Session cookies — used only to keep you logged in. We do not use third-party advertising cookies.
  • Analytics cookies — on our public website (not inside your logged-in dashboard), we use Google Analytics to understand how visitors find and use the site. This only runs if you accept cookies via the banner shown on your first visit — see below.

3. Information about prospects (leads) you capture

Our browser extension and CRM let you capture publicly-visible Instagram and Google My Business profile information about businesses you're considering reaching out to — for example, a username, bio, follower count, business category, or listed phone number. This data is:

  • Limited to what is already publicly visible on the prospect's own profile or listing.
  • Stored in your own account's lead pool, visible only to you (and, where you've explicitly authorized it, a VA working on your account).
  • Used only to help you evaluate, score, and reach out to that prospect — never sold, rented, or shared with other clients.

4. AI-assisted message drafting

If you use the optional "AI opener" feature, the prospect's publicly-visible profile information (bio, category, city, follower count, website status) is sent to Anthropic (the maker of Claude), a third-party AI provider, to generate a suggested opening message. Anthropic processes this data to return a draft message and does not use it to train models on our plan. This feature is optional — the CRM's rule-based message generator works without sending any data to a third party.

5. Cookies and Google Analytics on our public website

Our public marketing pages (home, guides, and legal pages — not the logged-in CRM dashboard) show a cookie banner on your first visit. If you choose "Accept All," we load Google Analytics to understand traffic and how visitors use the site (pages viewed, general location, device type). If you choose "Necessary Only," Google Analytics is never loaded, and only the essential session cookie needed for the site to function is used. 6. Other service providers we use

We use a small number of third-party services to run Good Work Outreach: our web hosting provider (to run the application and store data), our email delivery provider (to send account, billing, and follow-up notification emails), Google Analytics (see above, public website only, cookie-consent gated), and, where the AI opener feature is used, Anthropic (see above). None of these providers are permitted to use your data for their own purposes.

7. How long we keep your data

We keep your account and lead data for as long as your account is active. If you close your account, we'll delete or anonymize your personal account data within a reasonable period, except where we're required to keep records for legal, accounting, or fraud-prevention purposes (for example, payment reference records).

8. Your rights

You can ask us to access, correct, export, or delete the personal data we hold about you at any time by contacting us at [email protected]. We'll respond within a reasonable time and may need to verify your identity first.

9. International data transfers

Some of our service providers (including Anthropic, where the AI opener feature is used) may process data outside your own country. Where this happens, we rely on those providers' own safeguards for cross-border data transfers.

10. Children's privacy

Good Work Outreach is a business tool intended for use by adults running or working for a business. It is not directed at, and we do not knowingly collect data from, children.

11. Changes to this policy

We may update this policy from time to time. Continued use of the service after an update constitutes acceptance of the revised policy.
